Volunteer Opportunities
Development Committee
- Develop an annual fund raising plan to assure that fund raising goals are realized and the mission of the organization is interpreted to OUTstanding Amarillo contributors and potential contributors.
- Work closely with the Executive Director to cultivate new friends of OUTstanding Amarillo and to strengthen relationships with existing supporters.
- Research skills for identifying potential funding partners, corporations, and other options.
- Willingness to learn about people outside your immediate circle.
Major Gifts Subcommittee
- Plan and implement a campaign to attract major donors ($500 and up) for the organization, through personal contacts, letters of request, and other suitable means to successfully reach budgeted goals.
- Thank donors and maintain appropriate communication.
Skill set/specific needs:
- Research Skills.
- Good speaking skills, not afraid to meet with people and present OUTstanding Amarillo information to groups.
- Good writing skills for letters of request, newsletter/newspaper articles.
Businesses Subcommittee
- Obtain sponsorship and support from businesses to meet Annual Fundraiser underwriting budget and to provide other support throughout the year.
- Interpret the organization's mission and connect the organization to potential business partners.
- Develop list of potential businesses and promotional packet to ask for support for PRIDEfest and FruitBowl.
- Work with Executive Director and other committees to determine "in-kind" needs and approach businesses who may be willing to provide "in-kind" support.
- Obtain newsletter advertisers
Skill set/specific needs:
- Need large network and/or not afraid to meet new people.
- Secure in mission of OUTstanding Amarillo and unafraid to discuss with friends and strangers.
- Present themselves professionally, well spoken.
Churches and Organizations Subcommittee
- Maintain contact with churches that support OUTstanding Amarillo to express appreciation, interpret the organization's mission to congregations, and increase support.
- Cultivate new church partners to support the organization.
- Promote and interpret OUTstanding Amarillo's mission to service and social organizations that have the potential to support OUTstanding Amarillo financially and/or socially, through special fundraisers or, if possible, with a commitment for regular support.
- Someone to attend monthly Homeless coalition meetings on behalf of OUTstanding Amarillo and report back to ED & board with pertinent involvement/educational ideas and opportunities. (monthly, 2nd Fridays, noon, Salvation Army, lunch $5)
- Someone to attend monthly !mpact Futures! coalition meetings on behalf of OUTstanding Amarillo and report back to ED & board with pertinent involvement/educational ideas and opportunities.
- Someone to attend monthly Teen Pregnancy coalition meetings on behalf of OUTstanding Amarillo and report back to ED & board with pertinent involvement/educational ideas and opportunities. (monthly, 3rd Wednesdays, 11:30, United Way, lunch $6)

Event Subcommittee
- Plan and implement annual PRIDEfest and FruitBowl fundraising events to help meet the organization's financial needs while acquainting the community with OUTstanding Amarillo, providing entertaining events and positive publicity.
- To review event/activity ideas and concepts submitted by community members.
- To oversee and maintain organizations event calendar. Work closely with Facility Directors to secure scheduling for space and equipment.
- Special Events Committee is responsible for planning a wide variety of programming for entertainment, educational, friendraising, and fundraising.
- The charge to the committee is to plan spirit-building activities that provide the community with opportunities to renew acquaintances, make new friends, share ideas, and simply have a good time.
Skill set/specific needs:
- Good knowledge of the GLBT community interests and needs.
- Good knowledge of community resources for services and in-kind donations.
Event Chair
- Oversees and coordinates all components of event to make it financially successful and enjoyable for all participants.
- Create timeline of activities and monitor committees' progress, monitor budget, arrange for volunteers needed and job duties at the actual event.
- Oversees the arrangements component, which includes decorations, food and beverages, rental and coordination, invitations, reservations, ticket sales if applicable.
Event subcommittees, including those listed below will be formed and job descriptions developed as needed by the Event Chair.
Entertainment Committee
- Recruit emcee, acts, etc. to create an entertaining, fast-paced, high quality show that appeals to and is appropriate for specific event audience.
- Arrange for lighting, sound, and stage.
- Secure volunteer Directors and ensure that adequate schedule set.
- Communicate with entertainers and assist with backstage arrangements as needed.
- Coordinate physical arrangements (backstage and onstage) needed with Event Chair and volunteer staff.
- Arrange for food, beverage, and accommodations for entertainers.
Raffle Committee
- Secure one or two major raffle items, in coordination with Silent Auction and Business Committee, to be raffled.
- Coordinate with Invitations and Publicity volunteers for recognition of raffle items donors.
- Arrange for raffle ticket printing (donated if possible), and distribute tickets to Board and other volunteers for advance sale prior to event.
- Set up booth and organize volunteers to sell tickets at event and draw winner(s); make sure winners receive prizes.
- Thank donors and volunteers.

- People who aren't afraid to ask friends and strangers for contributions.
- People with creative ideas for soliciting donations from the community members.
Silent Auction
- Coordinate activities to create a successful silent auction to meet fundraising goals.
- Develop solicitation plan, timelines for commitments, potential donors list, and solicit donors for major items.
- Distribute forms and solicitation materials to Board members and community volunteers.
- Record items secured, including value and pick-up arrangements.
- Prepare auction program.
- Determine how items will be displayed and coordinate physical arrangements.
- Signs, bid sheets, pay-out materials and other items needed to conduct auction.
- Create attractive display of items, ensure all items are delivered on the day of event.
- Monitor auction and oversee closing bids.
- Make sure all items collected by winning bidders after event.
- Thank and foster donors for future needs.

Planned Giving Subcommittee
- Ensure that planned giving efforts are undertaken during the year.
- Ensure that methods are implemented to help friends and potential friends of OUTstanding Amarillo understand the importance of financial planning and planning options that can achieve the financial goals of OUTstanding Amarillo.
- Ensure that estate-planning professionals are informed of OUTstanding Amarillo's mission, services, and programs, and they are provided with necessary materials to assist clients who might be interested in supporting OUTstanding Amarillo.
Marketing/Publicity
- Publicize the organization's activities through a variety of news media throughout the year, when applicable.
- Create opportunities for publicity, to interpret the organization's mission and accomplishments to the community.
- Marketing duties include working closely with the Development Committee and Executive Director to make the public aware of educational and fundraising campaigns.
- Undertake other efforts, in coordination with the Executive Director, that will raise community awareness and promote a positive image for OUTstanding Amarillo.
- Interest or background in any of the media fields.
- Writing skills
Facilities Committee
The Facilities Committee will insure that the organization provides and maintains a facility that supports the mission and vision of OUTstanding Amarillo and the needs of the GLBT population. The Committee will:
- Develop a facilities plan that includes careful coordination with other committees and groups to ensure scheduling for space.
- Develop a facilities contingency plan that outlines actions and resources needed if the organization's current facilities arrangement should have to be discontinued;
- On an ongoing basis, serve as an advisor and resource for the organization's facility supplies, repairs and renovations;
- Serve as volunteers or recruit volunteers who can help with equipment and facilities painting, repair, upkeep and renovation as needed).
